AI Use & Ethics Policy

Purpose

Chordia uses artificial intelligence to help organizations better understand customer conversations, improve quality, strengthen compliance, and surface meaningful insights at scale.

This policy explains how Chordia designs, deploys, and governs the use of AI in a responsible, transparent, and practical way. It is intended to complement—rather than replace—our Terms of Use and Privacy Notice.

How Chordia Uses AI

Chordia’s AI systems are designed to analyze conversations and surface insight, not to replace human judgment.

AI is used to:

  • Evaluate conversations against customer-defined quality and compliance criteria
  • Identify patterns, themes, and customer signals across large volumes of interactions
  • Highlight moments that may require attention, review, or action

AI outputs provided by Chordia are decision-support tools. Final decisions, interpretations, and actions remain the responsibility of our customers.

Human Oversight and Control

Chordia is built on the principle that humans remain in control of how AI is used.

  • Customers define their own evaluation criteria, rules, and policies
  • AI-generated insights can be reviewed, validated, and acted upon by people
  • Learning workflows are designed to include human approval where appropriate
  • Chordia does not autonomously enforce decisions or take action on behalf of customers

This approach ensures AI enhances expertise and consistency without removing human accountability.

Data Usage and Customer Ownership

Chordia respects customer data ownership and confidentiality.

  • Customer data remains the property of the customer
  • Customer data is not used to train models across customers
  • Data is processed only to deliver contracted services
  • Access controls and logical separation are enforced

Responsible Design Principles

Chordia designs AI systems with the following principles in mind:

  • Transparency: AI outputs are grounded in observable conversation data and evidence
  • Consistency: Evaluation logic is applied uniformly across interactions
  • Context Awareness: Conversations are analyzed as structured flows, not isolated keywords
  • Operational Relevance: Insights are designed to support real workflows and decisions

Chordia prioritizes practical accuracy, explainability, and usability over theoretical claims.

AI-Assisted Content Creation

Chordia may use AI-assisted tools to support the creation of certain content, including educational materials, documentation, and marketing communications.

All AI-assisted content is:

  • Reviewed and edited by humans prior to publication
  • Intended to provide general information, not professional or legal advice
  • Produced separately from the AI systems used within Chordia’s products

AI-assisted content creation follows the same principles of human oversight, accuracy, and responsible use described in this policy.

Limitations and Appropriate Use

AI systems are probabilistic and may produce incomplete or imperfect results.

Customers should:

  • Use AI outputs as guidance, not as definitive conclusions
  • Apply human review when making operational, compliance, or personnel decisions
  • Avoid relying on AI outputs as the sole basis for high-impact actions

Chordia does not guarantee that AI-generated outputs will be error-free or suitable for every use case without oversight.

Prohibited Uses

Customers may not use Chordia’s AI capabilities to:

  • Engage in unlawful or deceptive practices
  • Circumvent applicable laws, regulations, or internal policies
  • Attempt to infer sensitive personal attributes beyond the scope of the service
  • Misrepresent AI-generated outputs as authoritative or definitive conclusions

Violations may result in suspension or termination as described in the Terms of Use.

Ongoing Governance and Evolution

AI technology and best practices continue to evolve. Chordia regularly reviews and updates its systems, safeguards, and internal processes to reflect:

  • Advances in AI capabilities
  • Emerging regulatory expectations
  • Customer feedback and real-world usage

This policy may be updated over time to reflect those changes.
